Job Description

We are currently seeking a detail-oriented and client-focused individual to join our team as a Venue Selection Specialist. In this role, you will be responsible for researching, identifying, and securing venues that meet our clients’ event requirements and expectations. If you have a passion for event planning, strong negotiation skills, and a knack for finding hidden gems, we want to hear from you!

Responsibilities

    • Collaborate with clients to understand their event objectives, preferences, and budget constraints, conducting thorough needs assessments to identify venue criteria and priorities.
    • Research and evaluate potential venues based on client specifications, including location, capacity, amenities, ambiance, and cost, using online resources, venue databases, and industry contacts.
    • Conduct site visits and inspections of prospective venues, assessing suitability, accessibility, and quality of facilities, and capturing photos and notes to document findings.
    • Negotiate contracts and pricing agreements with venue owners and managers, leveraging negotiation skills and industry knowledge to secure favorable terms and rates for our clients.
    • Coordinate venue bookings and reservations, including contract signing, deposit payments, and scheduling of event dates, ensuring that all contractual obligations are met and confirmed.
    • Serve as the main point of contact for clients throughout the venue selection process, providing regular updates, addressing inquiries or concerns, and offering guidance and support to facilitate decision-making.
    • Maintain accurate records of venue options, availability, and pricing, using spreadsheets or database software to track inquiries, bookings, and client preferences.
    • Stay informed about industry trends, new venue openings, and changes in regulations or policies that may impact venue selection or event planning processes.

Requirements

  • Bachelor’s degree in Hospitality Management, Event Planning, Business Administration, or related field preferred.
  • Minimum of [X] years of experience in event planning, venue selection, or related role, with a strong understanding of venue operations and industry best practices.
  • Excellent communication and interpersonal skills, with the ability to build rapport with clients, vendors, and venue representatives, and effectively convey information and recommendations.
  • Strong organizational and time management abilities, with the capacity to manage multiple projects and deadlines simultaneously and prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), as well as venue management software and online research tools.
  • Flexibility to work evenings, weekends, and holidays as required by client schedules and event planning timelines.
